Student Organizations who wish to use university venues for special events and programs must observe the following procedure:
Check the availability of the desired venue through PNU website. Look for Event Management Office (EMO) Venue Reservation and click “calendar” to check available venue.
If target venue is available, click “venue reservation” for PRE- REGISTRATION. Read procedure and implementing guideline for University Venue Reservation at the bottom of the page. Be guided with the corresponding capacity of the different venues and accomplish the request form. Re-read and finalize the details you encoded before you click "SUBMIT." You'll receive a text message and/or email from EMO if your target venue is disapproved. Pre- reservation is on a first-come, first-serve basis but priority is given to university-wide events, activities and programs. (The use of the Library Lobby must be properly coordinated with the Head Librarian while University Gymnasium and Grassland to the Institute of Physical Education, Health, Recreation, Dance and Sports Director, respectively. On the other hand, activities related to the programs of Red Cross and other medical concerns must be properly coordinated with the Medical Services Office.)
Please note that the requesting party must be pre-reserved AT LEAST A WEEK BEFORE the event/ activity. Right after the pre-reservation, the requesting party is REQUIRED to make a slider/poster at least on PowerPoint presentation in LANDSCAPE form with the SIZE of 16x6 inches or 1160x400 pixel and submit to events@pnu.edu.ph for website posting. Requesting party should follow the procedure required by SASO in the submission of concept paper.
From the date of pre-reservation, you only have a week to process the mandatory papers required by SASO and a good slider for EMO otherwise it will expire. Once you reached 2 consecutive "EXPIRED" pre-reservations of venue, you will be banned to pre-reserving any venue under EMO for a month and if you insist to pre-reserve, any venue within your ground period, you will be banned for the whole academic year.
After the event, the requesting party should make a two paragraph news article for the purpose of website posting to be submitted at events@pnu.edu.ph. Failure to submit will be a ground for rejection of further reservations.
In case of cancelling the pre-reservation, the requesting party must notify EMO at least 2 DAYS before the event through e-mail.
In case of changing event/activity date, time, venue and/or so on, the requesting party must provide a written communication to the EMO as for the office to facilitate the said reservation and will notify the requesting party for its approval through email or text.

GUIDELINES IN THE USE OF UNIVERSITY FACILITIES
After the event, the requesting party must fill up the completion report and feedback to further improve the quality of service of the reservation unit. The form is available at EMO.
Damage in property or equipment after use by the requesting party should also be reported. (The report must include the orderliness and cleanliness after use, discipline and order and over all assurance of proper utilization of facilities).
