REQUEST FORM FOR THE USE OF UNIVERSITY FACILITIES

Procedure for University Venue Reservation

FACULTY/STAFF INITIATED ACTIVITIES

Any university office wishes to use university venue for special event and program must observe the following procedure:

  1. Check the availability of the desired venue through the PNU website. Look for Event Management Office (EMO) Venue Reservation and click “Calendar” to check the available venues.

  2. If your target venue is available, click “Venue Reservation” for PRE-REGISTRATION. Read the procedure and implementing guidelines in University Venue Reservation at the bottom of the page. Be guided with the corresponding capacity of the different venues and accomplish the online request form. Pre-reservation should be done at least three (3) days before the event or activity.

  3. after the pre-reservation, the requesting party is required to make a slider/poster at least on PowerPoint presentation in LANDSCAPE form with the SIZE of 16x6 inches or 1160x400 pixel and submit to events@pnu.edu.ph for website posting.

  4. EMO will finalize the reservation and will post the final reservation at “EMO e-calendar”. Please see at https://www.pnu.edu.ph/emo/emocalendar.php.

  5. In case of modification of event/activity date, time, venue and other concerns, the requesting party must provide a written communication through a letter or e-mail one (1) day before the event or activity to the EMO. Sanctions will be implemented to the requesting party once failed to inform of the cancellation of the reservation.
    1st warning: Written notice;
    2nd warning: Written notice and reprimand;
    3rd warning: Banned from using venues.


  6. After the event, the requesting party should make a two paragraph news article for website posting except ordinary meetings to be submitted at events@pnu.edu.ph. The requesting party can also keep in touch with any of the EMO Director and Staff for such purpose.
  7. All university, emerging and external event approved by the University President will prioritize in using any major venues.

NON-PNUANS INITIATED ACTIVITIES

Any university office wishes to use university venue for special event and program must observe the following procedure:

  1. Check the availability of the desired venue through PNU website. Look for Event Management Office (EMO) Venue Reservation and click “calendar” to check available venue.

  2. If target venue is available, click “venue reservation” for PRE- REGISTRATION. Read procedure and implementing guideline for University Venue Reservation at the bottom of the page. Be guided with the corresponding capacity of the different venues and accomplish the request form. Re-read and finalize the details you encoded before you click "SUBMIT." You'll receive a text message and/or email from EMO if your target venue is disapproved. Pre- reservation is on a first-come, first-serve basis but priority is given to university-wide events, activities and programs. (The use of the Library Lobby must be properly coordinated with the Head Librarian while University Gymnasium and Grassland to the Institute of Physical Education, Health, Recreation, Dance and Sports Director, respectively. On the other hand, activities related to the programs of Red Cross and other medical concerns must be properly coordinated with the Medical Services Office.)

  3. Go to ASBDO (Ground flr. Maceda Bldg. near PNU Business Center) for ASSESSMENT and other requirement.

  4. EMO will finalize the reservation and will post the final reservation at “EMO e-calendar”. Please see at https://www.pnu.edu.ph/emo/emocalendar.php.

  5. Proceed to Cashier to pay then hand carry the receipt to PBDO.

  6. EMO will finalize the reservation and will post the final reservation at “EMO e-calendar”.

GUIDELINES IN THE USE OF UNIVERSITY FACILITIES

  1. After the event, the requesting party must fill up the completion report and feedback to further improve the quality of service of the reservation unit. The form is available at EMO.

  2. Damage in property or equipment after use by the requesting party should also be reported. (The report must include the orderliness and cleanliness after use, discipline and order and over all assurance of proper utilization of facilities).
