Quality Policy
The Office of the University Registrar is dedicated to providing the needs of the University community and thus, provides services related to the creation and maintenance of academic records. The Office oversees student’s enrollment and registration, procedures course rolls and grade sheets, issues grade reports and maintains academic transcripts. It also provides diplomas and intermediate honor certificates, completes degree verifications and assigns classroom space.
Functions and Actual Duties of the Registrar’s Office
Registration
Provides registration services to departments and students. Attends and oversees the registration and scholastic schedules/record of the students of the university. Certifies student enrollment.
Entrance Certificates
Evaluates the entrance certificates and college transcripts to determine the prospective students’ ability for admission, fixing such terms and conditions as may be necessary under existing rules and supervises the removal of admission conditions of all students.
Class Schedules
In consultation with the Deans and Heads of departments, sees to the preparation of all schedules of classes for the University, assigning classroom space in all buildings. Plan and coordinate the schedule of classes that all curricular needs are met while responding to the preferences of faculty and students.
Student Records
Creates and maintains academic records of students- a permanent, systematic and convenient record containing the grades of each student and all other recordable information about the student that the University may at any time need, organizing, interpreting and publishing such information from time to time as is desirable and as the facilities of the Office permit.
Diplomas
Provides certification attendance and degrees to outside institutions and agencies, monitors list of graduates, ranks undergraduates for graduation and takes part in the organization of student participation in commencement and as such, oversees ordering of diplomas from tentative lists prepared by Deans.
Issuance of Records
The sole officer empowered to maintain and issue official transcript of records to the rightful owners and upon payment of the required fees. Demonstrates the University’s commitment to thoughtful treatment of its students, past and present, by producing accurate transcript of records. Sees to the storage and preservation of the academic records and inactive student folders.
Enforcement of Academic Regulation
To ensure good order and an atmosphere conducive to academic activity, interpret and enforce the academic regulations pertaining to her office, by producing statistics, class rosters, grades, certifications and other reports subject to the authority of review by the President, and by serving as a “watch dog” for academic policies.
Produces official student lists, enrollment reports, and statistics and the Student directory. Likewise, process changes of school, name and address, interpret and enforce academic regulations, collect and maintain record of grades from faculty.
Annual Report
Prepares and submits annual report to the President covering the work in the office during the year.
Accrediting and Awards
Acts as co-chairman of the accrediting committee and the committee on academic awards. |
